Counter-Offer Email Template That Sounds Professional, Not Pushy

A strong counter-offer email does three things at once. It keeps enthusiasm high, makes the compensation gap clear, and gives the employer a concrete next step. If you sound emotional or vague, you lose leverage. If you sound clear and collaborative, you often create room to move.

What a good counter-offer email needs to do

Your email should confirm that you want the role, explain why the current package falls short, and present a realistic number or range that the company can respond to.

The best counter-offer emails feel easy to escalate internally because they are specific and calm.

When to send it

Send it soon after the first offer, ideally once you have reviewed the package and market context. Waiting too long weakens urgency and momentum.

What not to do

Avoid ultimatums, long emotional stories, or vague wording like I was hoping for more. Numbers and rationale outperform emotion.

A simple counter-offer email template

Thank you again for the offer. I am excited about the role and the team. After reviewing the package and comparing it with the market for similar roles, I was hoping we could revisit the compensation. Based on the scope of the role and current market data, I would be more comfortable at X. If helpful, I am happy to discuss the full package and see what flexibility exists.

If you want to use a range

You can also say: Based on the role and market, I would be targeting a package in the range of X to Y, depending on the overall structure.

How to justify the counter-offer without overexplaining

Use one to three strong reasons: market benchmarks, role scope, measurable impact, or competing interest. You do not need a novel. You need a credible case.

If you have a competing offer, frame it as context, not a threat.

If the employer says they are at the top of band

Shift to the full package. Ask about sign-on, bonus, equity, review timing, or title if salary will not move.

What to do after you send the email

Give the employer time to respond, then move quickly if they engage. The cleaner your ask, the easier it is for them to come back with a better number.

If the answer is still weak, that is where a stronger negotiation letter or scenario-specific page becomes useful.
